How Travel Booking Works
Everything MAVTG Travel books for you, what we need from every traveler before we can confirm a reservation, and the full checklist to keep your trip on track from booking to departure.
MAVTG Travel offers a complimentary concierge booking service: our travel agents book your air, hotel, cruise, rental car, and ground transportation on your behalf, at no added cost to you for standard bookings. You get a real person managing the details, industry access to rates and packages not always available booking direct, and one point of contact if anything changes.
A small planning/service fee may apply to certain bookings (for example, complex multi-stop itineraries or extensive research). If a fee applies, we will always disclose the amount in writing and get your agreement before any work begins. Service fees are separate from your travel cost and are non-refundable once work has started.

What We Need From You to Book
To book with confidence and keep your trip protected, we ask every traveler for the following before we confirm a reservation:
- A valid passport and/or government-issued photo ID (name must match your ticket/reservation exactly)
- Your current mailing address and best contact number/email
- Exact travel dates and destination(s)
- The name, date of birth, and age of every traveler on the reservation
- Acknowledgement of the applicable fees, deposit schedule, and final payment date
- Acknowledgement of the cancellation and change policy before we book
- A credit card in the name of the traveler paying — this is the only accepted payment method

Airfare
We can book air on its own or as part of a package. Agent-booked air is usually the fastest option; in some cases we access wholesale or tour-operator air that isn't available to the public, which can mean a lower fare — especially on packages. Group air (10+ travelers on the same itinerary) has its own pricing and deadlines, so let us know early if you're traveling as a group.
- Basic Economy fares typically do not include a seat assignment or checked/carry-on baggage, and often carry high change or cancellation fees. We'll flag this before you buy.
- Every airline has its own change, cancellation, and baggage rules — we review the specific fare rules with you, not just the general policy.
- Names on the ticket must match your government-issued ID exactly. Please confirm the full legal name for every traveler before we book.
Hotels
Hotel rooms are priced and restricted by occupancy, so we always confirm how many people (adults and children) are staying in each room before booking. Read the room description carefully with us — bedding type, view, and amenities vary more than people expect.
- We check the cancellation policy on every rate. Some discounted rates are non-refundable from the moment of booking — we'll always tell you which kind of rate you're getting.
- We verify the credit card and ID that will be used to check in, since many hotels require the card on file to match the guest.
- For certain hotels, we check availability and rate directly with the property in addition to standard booking channels, to make sure you're getting the best option.
Cruises
Cruise lines generally fall into four categories — Luxury, Premium, Contemporary, and River — and the right one depends on your travel style. Cabin categories range from Interior and Ocean View up through Balcony, Mini-Suite, Suite, and Family Stateroom. We review the ship's deck plan with you before booking and confirm your cabin location, including flagging any obstructed-view cabins so there are no surprises.
- Port taxes and government fees are always itemized separately from the cruise fare
- Transfers, air, and hotel/land packages can be bundled with your cruise
- Travel insurance is available, including coverage if you miss a port of call
- Gratuities can be prepaid and included in your total
Deposits are typically due to hold your cabin, with the balance due later — cruise lines generally require a deposit around 65 days before sailing, though this varies and some promotional rates are paid-in-full and non-refundable. We track your payment due dates for you and follow up ahead of each deadline. All names and birth dates must be accurate for dining, shore excursion, and check-in purposes, and we flag any special assistance needs (mobility, dietary, medical) with the cruise line ahead of sailing. After your cruise, we follow up with a welcome-home note about two weeks after you return.
Vacation Packages & All-Inclusive Resorts
Packages are booked either independently (air + hotel bundled) or as a tour package through a supplier. For every package booking we confirm passport/ID and travel dates for every traveler, contact info, any special occasion (suppliers sometimes offer perks for honeymoons or anniversaries), the deposit due date, final payment date (often about a week before travel), change fees, and the exact cancellation policy.
Travel Insurance
We offer travel insurance on every booking — it's always presented as an option, never assumed. We review the specifics of each policy with you, including whether it's Cash Back or Travel Credit if unused, whether coverage is Primary or Secondary, and any "same household" requirement. If you decline coverage, we'll ask you to sign a waiver confirming it was offered and declined. If you accept, we provide the policy number and the insurer's 24-hour assistance number before you travel.
Your Documents & Your Payment — How We Protect You
Because travel bookings involve your personal identification and payment information, we take a few standard steps on every booking to protect you from fraud: we confirm a copy of your credit card, photo ID, and passport are consistent across all three, we follow up by phone in addition to email/text to confirm booking details, and we apply extra verification on urgent or last-minute bookings, since these are common fraud targets. All agreements — our Terms & Conditions and your Credit Card Authorization — are reviewed with you and signed (e-signature accepted) before we book. If anything about a booking looks off, we will pause and verify before proceeding.
Cancellations & Changes
Cancellation and change policies are set by the airline, hotel, cruise line, or tour operator — not by us — and they vary widely, from fully refundable to non-refundable from the moment of booking. We review the specific cancellation policy that applies to your booking with you before you pay, and we recommend reviewing it again anytime you're considering a change.
Traveler Checklist
What we need before your trip is booked, confirmed, and ready to go. Having these ready speeds up your booking and helps avoid last-minute problems.
Step 1 — Before We Book
- Valid passport (with at least 6 months' validity remaining past your return date, if traveling internationally)
- Government-issued photo ID (driver's license or passport)
- Current mailing address, phone number, and email
- Exact travel dates and destination(s)
- Full legal name, date of birth, and age for every traveler, exactly as shown on ID/passport
- Credit card in the name of the traveler paying (we do not accept cash or checks)
Step 2 — Before You Pay
- Reviewed and signed our Terms & Conditions
- Reviewed and signed our Credit Card Authorization Form
- Reviewed the fees, deposit amount, and final payment due date for your trip
- Reviewed the cancellation and change policy for your specific booking (these vary by airline, hotel, cruise line, and rate type — some are non-refundable)
- Considered and made a decision on travel insurance (accepted or signed a decline waiver)
- Confirmed the photo and name on your ID, passport, and credit card all match — mismatches can delay or block your booking
Step 3 — Before You Fly
- Received and reviewed your travel documents (tickets, cruise documents, vouchers, itinerary)
- Confirmed all names and birth dates on your documents are accurate
- Noted your final payment date and confirmed payment is complete
- Saved your insurer's policy number and 24-hour assistance line (if you purchased insurance)
- Shared any special assistance needs with us in advance (mobility, dietary, medical)
- Kept a copy of all correspondence with us for your records — everything is also e-signed and on file
